Active Sports Gym & Healthclub – Membership Cancellation & Refund Policy

1. 14-Day Cooling-Off Period In accordance with the Consumer Contracts Regulations 2013, new members who join online or off-premises have the right to cancel their membership within 14 days of signing up and receive a full refund of any fees paid. If you have utilized the facilities during this period, a proportionate deduction may be made for the services used. 

2. Cancellation Due to Medical or Financial Hardship

We understand that unforeseen circumstances can arise. Members may request cancellation without penalty under the following conditions:

• Medical Grounds: If you are unable to use the facilities due to a serious injury or illness, you may cancel your membership by providing medical evidence, such as a doctor’s note.  
• Financial Hardship: If you experience significant financial difficulties, such as job loss, you may request cancellation by providing appropriate documentation.

3. Standard Cancellation Policy

• Monthly Memberships: Members on a monthly plan can cancel their membership by providing a 30-day notice in writing. During this notice period, regular fees will apply. 
• Fixed-Term Memberships: If you have a fixed-term contract (e.g., 12 months), early cancellation may incur a fee. The fee will be calculated based on the remaining term and any discounts applied.

Membership Freezes

• Members may freeze their membership for up to 3 months in a 12-month period for reasons such as travel, medical issues, or other personal circumstances. A nominal fee may apply. Requests must be made in writing at least 5 working days before the next billing cycle.

Refunds

• Refunds are processed under the following conditions:
  
• Within Cooling-Off Period: Full refund, subject to deductions for any services used.
• Medical or Financial Hardship: Pro-rata refund for the unused portion of the membership, upon approval.
• Facility Closures: If the gym is closed for an extended period, members may be eligible for a refund or membership extension.  

Please note that joining fees are non-refundable unless cancellation occurs within the 14-day cooling-off period.

6. How to Cancel

• To cancel your membership:

1. Submit a written cancellation request via email to [email protected] or through our online Member Portal.
2. Provide any necessary documentation if cancelling due to medical or financial hardship. 
3. Ensure your request is submitted in accordance with the notice periods outlined above.

You will receive confirmation of your cancellation within 5 working days.
